Why manual invoice verification costs time and money
Incoming invoices arrive by email, as PDFs or on paper, and each one must be recorded, checked and sent to the right person. This takes time, early-payment discount deadlines are missed, and at month-end nobody knows for sure which liabilities have already been approved—until an invoice turns up at the last minute. Data is entered more than once, checks vary from person to person, and the audit trail is scattered across inboxes.
How swoox.io automates invoice intake
swoox.io turns invoice processing into a controlled workflow. Incoming invoices are received automatically, and an AI agent handles the preliminary work: extracting invoice data and checking consistency. It compares amounts, tax rates and supplier details with your master data and, where available, purchase-order data. Deviations are flagged and unclear cases are passed to a person for review. The responsible employee makes the approval decision in the workflow; every step is documented and remains traceable.
What is the agent allowed to do?
Platform Level
The tool allowlist and permission system determine which systems and data the agent can access. Anything not explicitly approved is unavailable to it.
Process Level
The BPMN process is an explicit graph with defined control points. The agent cannot leave the prescribed path: it works within the process, not around it.
Agent Level
At the point where consequences matter—when a decision affects money—the process stops and hands the case to a person. The agent never approves a payment.
Every process step is logged and traceable. This architecture—platform as the framework, process as the path, and a controlled agent loop—aligns with the approach described by researchers at Fraunhofer FIT for the responsible use of AI agents in business processes.
The invoice workflow, step by step
(Example workflow – each process is unique)
- An invoice arrives through the defined intake channel and starts the process.
- The AI agent extracts invoice data, line items and supplier details from the document.
- The agent checks the data against master data and, where available, purchase-order data, and flags discrepancies.
- If the information is consistent, the invoice is prepared for approval; unclear cases are routed to a person with the relevant details.
- The responsible person reviews the results and makes the approval decision.
- The process records the decision and updates the invoice status.
- The invoice continues to the next defined step in the finance process.
- The complete workflow is documented in the process log.
Results: faster approvals, complete audit trails
- Invoice data no longer has to be typed in manually.
- Preliminary checks run automatically in the background; you only need to make the decision.
- Every invoice has a transparent status—no more searching inboxes or uncertainty at month-end.
- Discrepancies are flagged systematically instead of being discovered by chance.
- The workflow is consistent and documented, even when key people are unavailable.
- Internal controls and auditors can trace who made which decision and when.
Why swoox.io for SMEs?
Run swoox.io in the way that fits your IT: on-premises or as PaaS in the EU, with SSO/MFA and a role- and permission system that even a small IT team can manage independently. Your invoice data stays where you want it.
Invoice pre-checking is often the first process, but rarely the last. On the same platform, you can then model purchase requisitions, complaint management or onboarding: the same engine and governance, using low-code and BPMN 2.0.
We are transparent about integrations: swoox.io includes standard components such as REST interfaces and email processing. Integration with your specific ERP system is configured together as part of the project.

Frequently asked questions about automated invoice processing
Does the agent approve invoices itself, and what happens if it is unsure?
No. Approval always remains with a responsible person. If the agent cannot confidently classify an invoice, it stops according to the defined rules and hands the case, with all relevant information, to a person—guessing is not an option. Every step is logged and traceable.
Which AI models can I use?
swoox.io is model-agnostic: you can integrate ChatGPT, Claude or Llama, depending on your data protection and operational requirements. Changing the model does not change your process.
Does pre-checking work without purchase-order data?
Yes. Without a purchase-order reference, the agent checks against master data and defined rules. Matching against purchase orders can be added as an optional extension.
Does our invoice data remain in Germany or the EU?
Yes. swoox.io runs on-premises or as PaaS in the EU, in compliance with the GDPR. The demo also uses sample data, so nobody needs your real invoices.
Do we need programming skills?
No. You model and maintain the process in the low-code editor based on BPMN 2.0; IT support is only needed for system integrations.
How long does implementation take, and how do we get started?
The first process is deliberately kept small: intake, pre-check and approval. The timeline mainly depends on the systems to be connected. We provide a concrete estimate in the initial conversation, starting with a joint review of your current invoice process.
